Purpose
The HBF Agent Dashboard includes an AI-powered collateral reconciliation workflow called Agent Import. Rather than updating collateral records manually, users can upload a WIP report (Excel or CSV), let the agent compare it against active collaterals, review AI-suggested field updates with confidence scores, and apply changes in bulk — all from a single guided workflow.

Agent Import Wizard: A guided 3-step process (Upload, Identify Columns, Review Mapping) walks users through setting up the reconciliation before the agent processes the file.
Agent Context: Before processing begins, the agent surfaces what it will compare — for example, "I will compare this file against the 10 active collaterals in your current view. I'll look for changes in Appraisal Values, Costs, and Statuses." This gives users full transparency into the AI's scope before committing.
Automatic Column Recognition with Confidence Scores: The system auto-detects identity columns (such as Subdivision or Lot Number) and maps data fields from the uploaded file to Built fields, showing a confidence score (High / Verify) for each mapping.
Agent Collateral Review: A full-page review screen displays summary stats (Total Items Analyzed, Updates Found, Applied Changes, No Updates Needed) and a field-by-field breakdown of every suggested change — showing the previous value alongside the agent's suggested update.
Individual or Bulk Verification: Verify suggested changes one field at a time, or use Verify All to approve all updates at once before applying.
Email Notification on Completion: The system sends an email notification when file processing is complete, so users don't need to remain on the page while the agent works.
Apply and Unapply Changes: Apply all verified changes to the collateral page in a single action. An Unapply All option is available before finalizing if a correction is needed.

This workflow is designed for users who need to reconcile and update collateral data across active loans — particularly when managing bulk changes sourced from an external WIP report or spreadsheet.
How It Works
The Agent Import workflow has four phases: uploading the file, identifying columns, reviewing the column mapping, and reviewing and applying the agent's suggested changes.
Phase 1: Upload a WIP Report
Navigate to the Collaterals tab within the project.
Click Reconcile with Agent. The wizard begins at Step 1: Upload.
Upload an Excel (.xlsx) or CSV file (max 50MB). The system steps through: Creating file record → Uploading to server → Reading file → Identifying headers → Matching columns.
Review the Agent Context box, which describes what the agent will compare against your current collateral view and what types of changes it will look for.

File processing takes approximately 1 minute. The system will send an email notification when complete — you don't need to remain on the page while you wait.

Phase 2: Identify Columns
In Step 2, review the identity columns the system has detected — typically Subdivision (mapped to Subdivision Name) and Lot (mapped to Lot Number). These columns are used to match rows in your file to existing collateral records in Built.

Phase 3: Review Column Mapping
In Step 3, review the Review Column Mapping table. For each detected column, the system shows the source column name from your file, sample values, the mapped Built field, and a confidence score.
Fields with a High confidence score are auto-mapped. Fields flagged as Verify require manual confirmation — for example, a column named Borrower Progress in the spreadsheet maps to Inspection Progress in Built and will be flagged for review.
Adjust any mappings as needed, clicking the trash can icon removes the mapping. Then click Process with AI to begin the reconciliation.
Phase 4: Review and Apply Changes
Once processing is complete, the Agent Collateral Review screen opens. Review the summary tiles at the top: Total Items Analyzed, Updates Found, Applied Changes, and No Updates Needed.
In the Suggested Updates list, expand any collateral item to see a field-by-field breakdown. Each row shows the field name, previous value, and the agent's suggested update (e.g., Collateral Status: Closed → Draft; Collateral Type: SFR Detached → Finished Lot; Sales Status: Model → Presold). Items with pending updates are tagged Updates available.
Verify changes individually using the Verify button on each field, or click Verify All to approve all suggested updates at once.
Click Apply Changes to write all verified updates to the collateral page. Items update to All changes applied once complete.
Note:
Use the Unapply All option to reverse changes before finalizing. Once the workflow is complete, changes are reflected on the collateral page immediately.
