Task Management for Origination Overview

Purpose

Origination teams move deals through a series of workflow stages, and each stage comes with a repeatable set of work: filling in deal fields, uploading documents, and routing approvals.

Task Management for Origination connects that work directly to the workflow. The right tasks are created automatically when a deal enters a stage, data-entry tasks link straight to the fields they require, and outstanding tasks are visible right from the Portfolio grid.

Key Features

  1. Data Requirement Tasks: A task type tied to one or more deal fields. The task can't be completed until those fields are filled in, and a Go to field link takes users straight to each one.

  2. Portfolio Task Ticker: A summary of a deal's outstanding and overdue tasks in the Portfolio deal panel, without opening the Action Center.

  3. Apply Task Template on Transitions: Automatically create a set of tasks from a task template when a deal moves to a new workflow status.

Target Users

  • Workflow administrators: Configure task templates, transition actions, and transition conditions.

  • Originators and analysts: Complete tasks, fill in required deal data, and advance deals through the workflow.

How It Works

Data Requirement Tasks

Data Requirement joins the existing task types (Plain Task and Document Collection). It can be created manually from the + New menu or automatically as part of a task template.

When creating one, select the Target Field(s): one or more fields from the deal's field configuration that must be filled in. The completion rule is that all fields are populated.

When the task is opened:

  • If any target field is empty, the Complete action is disabled, and a tooltip lists which fields still need values.

  • Once every target field has a value, the task can be completed. If auto-complete is turned on in the task template, the task completes automatically when the last field is filled in.

  • Field status updates in real time. Fill in the field on the deal, return to the task, and it reflects the change without a refresh.

The task drawer's Data requirements section lists each target field with its status (Not populated, or the current value) and a Go to field link. Selecting Go to field opens the deal with that field highlighted, its section expanded, and the field ready to edit.

Portfolio Task Ticker

When a deal is opened from the Portfolio grid, a task ticker appears in the deal panel below the deal summary. When collapsed, it shows:

Element

What It Shows

Icon

A blue checkmark normally, or a red alert if any tasks are overdue.

Count

The number of active tasks.

Urgency

The number overdue, in red, or the next due date if nothing is overdue.

Expand the ticker to see open tasks, sorted with overdue tasks first and then by due date. Each row shows the task's status, name, due date (highlighted red if overdue), and assignee.

The list shows all active tasks on the deal by default. If a deal has no active tasks, the ticker doesn't appear.

Apply Task Template on Workflow Transitions

In the Workflow Builder's transition editor, add an Apply Task Template action to any transition and select a published task template (for example, Term Sheet Issued or Closing Checklist). When a deal makes that transition, a task is created on the deal for each task in the template:

  • Name, description, type, and completion conditions come from the template.

  • Assignees are resolved from the deal's stakeholder roles. For example, a task assigned to the Analyst role goes to the deal's Analyst.

  • Due dates are calculated from the template's date rules using the deal's actual dates.

  • Task order and sequencing follow the template.

New tasks appear in assignees' Action Center right away. A single transition can include more than one Apply Task Template action, each using a different template.

If a deal moves back and then re-enters a stage whose template was already applied, a confirmation dialog lists the existing tasks and their statuses, with two options:

Option

What Happens

Keep existing tasks (default)

The existing tasks are reused. Completed tasks stay complete, discarded tasks are reset to To Do, and no duplicates are created.

Replace with new tasks

The existing tasks from that template are discarded (marked Superseded), and a fresh set is created.

Benefits

  • No more creating the same tasks by hand for every deal at every stage.

  • One click from a data-entry task to the exact field it needs.

  • Outstanding and overdue work is visible from the Portfolio grid.
