Overview
Ability to upload a multi-page PDF draw packet where the Built system will identify and split different document types based on page ranges, fulfill document requirements based on your draw workflow and extract your Uses data to populate your draw amounts.
Pre-requisites to Use
Draw Management full edit permissions.
Sources and Uses must be finalized on a Deal to start processing Draws.
Upload a PDF to create a draft draw
Step-by-Step Instructions:
Inside of a Deal, navigate to Draw Management, and click ‘Create Draw.’
By default, the ‘Upload a Draw Package’ option is selected. If not, select that option and upload a file.
Once the file is uploaded, click Next and enter additional required details about the draw and click ‘Create Draw’
Once the document has been uploaded and the draft draw has been created, a new row will appear in Draft Draws with a status of ‘Processing.’ Currently, the system is looking through the document to identify the different document types in the pdf.
When the system is done processing the draw package pdf, the status of the draft draw will update to be ‘Needs Review’, the counter in the tab will increase and the draw name will be clickable so you can open and review the system’s results.
Review draw package results (splits and document types)
Step-by-Step Instructions:
While in the review stage, on the left will be the document uploaded and to the right will be the identified splits and document types.
Review the page range and document type to ensure the system identified it correctly. To change a page range, enter in a new range into the page range input. To change a document type, clear the document type selection and search and choose a different one. Any changes to what the system provided will remove the purple border on the input.
To quickly navigate to a page in the PDF, click the thumbnail and the file viewer on the left will navigate to the appropriate page.
If there are any pages you don’t want to import into the draw, click the ‘unlink’ button on the far right. Any pages without a document type will not be added to the draw. All of the ‘unlinked’ pages will appear in a group at the bottom of the list on the right.
If you can’t find a document type in the list that maps to the document type, use the type ‘Other’.
If you need to step away from mapping types to pages, click ‘Save and Close’ and all your changes will be saved for you to review at a later time.
Once you’ve reviewed all your changes and are ready to create the draw, select ‘Finalize Splits.’ A confirmation modal will appear confirming the finalizing of the splits since this action cannot be undone.
Extracted Sources and Uses
Step-by-Step Instructions:
Once you’ve finalized the splits, the draw based on the PDF you uploaded will be created. If you uploaded and identified one of the documents as a ‘Draw Schedule’, then the ‘Sources and Uses’ tab will be disabled and show a loader in the tab [because the system is extracting data from the document to populate your draw amounts].
When the extraction is complete, navigate to the ‘Sources and Uses’ tab. If the system was able to identify every use from the Draw Schedule document to an item in the draw’s sources and uses, then there will be a purple border around the items that were extracted (draw schedule amounts).
If the extraction couldn’t identify every item, a confirmation modal will appear asking to review and verify the data. If you don’t want to use the data the system extracted, click ‘Cancel.’
When you click ‘Review’, a full page modal will appear with the Draw Schedule document on the left and a table on the right with the extracted data. You need to select the Sources and Uses item that corresponds to the extracted item. You can only select one Sources and Uses item per extracted line item.
Once this process is completed, click ‘Save’. All of the data you mapped will be populated in the draw [purple outline]. If something is wrong, you can edit the amounts.
Document Types and Requirements
Step-by-Step Instructions:
Any page range identified through the review process will appear as an individual PDF on the Documents tab in the draw. The types identified will also persist.
If there are any document requirements that map to the document types identified in the draw package PDF, those will be automatically fulfilled.
Folders on the Documents tab will be created and organized based on the document types. These cannot be re-ordered or deleted.
