The Inspection Line Item Form Element introduces a structured, in-platform way to capture funding recommendations at the budget line-item level, ensuring that the information collected by inspectors ties directly to a Draw’s Sources & Uses data.

Previously, Buyers had to manually reconcile inspection reports and budget spreadsheets before approving draw requests. Vendors often duplicated work by producing additional reconciliation tables outside Built. With this enhancement, both parties now have a single, standardized data source that supports faster, more confident funding decisions.

The Inspection Line Item element ensures that:

  • Buyers receive structured, auditable funding data directly from the Vendor.

  • Vendors can continue submitting their standard PDF reports while entering funding recommendations in-platform.

  • Recommendations to Fund are captured per line item and stored alongside draw data for transparency and auditability.


Prerequisites for Creating and Managing Inspection Line Item Order Forms

  1. Order Type: Inspection (Inspection Orders only).

  2. Associated Draw: A Draw must be associated with the Order.

  3. Order Form: The selected Order Form must include the Inspection Line Item element.

    1. Order Forms with the Inspection Line Item element only appear when a Draw is linked.

  4. Order Fulfillment Type:

    1. Supported for Vendor Fulfilled and Submit on Behalf of Vendor orders.

    2. AI Order Fulfillment and AI Order Summary are supported only for Vendor Fulfilled orders.

Description

Buyers can add the new Inspection Line Item Form Element to any Inspection Order Form, enabling Vendors to provide detailed Recommendations to Fund for each budget line item directly within Built.

When a Draw is associated with an order, the element automatically pulls in line items from the Draw’s Sources & Uses table, including relevant budget data such as Original Amount, Revised Amount, Current Draw Request, and Percent Complete.

Only the Recommendation to Fund field is editable, ensuring consistent, accurate funding inputs while keeping draw data intact.


Creating an Order Form with the Inspection Line Item Form Element

Step-by-Step Instructions:

  1. Navigate to Settings

    1. Go to SettingsOrder Forms.

    2. Select New Order Form or open an existing Inspection Order Form in Edit mode.

  2. Add the Inspection Line Item Form Element

    1. In Build mode, the Inspection Line Item element appears under Default Form Elements for Inspection Order Types.

    2. Drag the Inspection Line Item element into the Form Builder drop zone.

    3. Switch to Preview mode to view its description and example layout.

  3. Save and Publish

    1. Click Next to review, then Publish the form to make it available for use.

    2. Once published, this Order Form will only appear as selectable during order creation when a Draw is associated with the Inspection Order.


Selecting an Order Form with the Inspection Line Item Element

Description

During order creation or editing, the visibility of Inspection Line Item-enabled forms depends on Draw association.

Single Property on a Deal

  • With an Associated Draw:

    • Order Forms containing the Inspection Line Item element are visible and selectable.

  • Without an Associated Draw:

    • Order Forms containing the Inspection Line Item element are hidden and cannot be selected.

If a Buyer removes the associated Draw after selecting the form, the system clears the form selection and prompts the Buyer to choose a different Order Form.

Multiple Properties on a Deal

  • For MVP, multiple-property Inspection Orders cannot be associated with a Draw.

  • Therefore, Order Forms using the Inspection Line Item element will not appear in the selection list.

Repeat (Scheduled) Orders

  • Repeat Orders cannot have an associated Draw during creation.

  • Accordingly, forms containing the Inspection Line Item element are not visible when Repeat is selected.

  • Buyers can later edit an individual Scheduled Order to add a Draw and apply a compatible form.

Automated Inspection Orders via Draw Workflow

  • When a Draw Workflow includes a “Request Vendor Fulfilled Inspection” action, it assumes an associated Draw exists.

  • Forms with the Inspection Line Item element are visible and selectable in this configuration.

  • Automated workflows can create these inspection orders without blockers.


Fulfilling an Order with the Inspection Line Item Form Element

Vendor Fulfilled Orders

Requested Order (Preview)

  • Vendors can preview the embedded line items within the Order Form.

Accepted → In Progress

When the Vendor begins fulfillment:

  • The Inspection Line Item Form displays grouped hard cost line items pulled from the Draw’s Sources & Uses.

  • Each line item shows:

    • Original Amount

    • Current Adjustment

    • Revised Amount

    • Current Draw Request

    • Stored Materials

    • % Completed

Entering Recommendations

  • Vendors can enter Recommendation to Fund values directly in the currency field beside each line item.

  • Line items can be viewed in grouped or expanded format.

  • A % / $ toggle in the column header allows switching input mode:

    • $ view: direct dollar entry (default).

    • % view: percentage of the Revised Amount.

    • All entries are stored in dollars regardless of view mode.

  • Group totals and column roll-ups update automatically.

  • A View & Edit Inspection Items button opens a full-page detail view where all values can be edited and auto-saved.

  • Changes save automatically; clicking X or Done closes the modal without discarding edits.

AI Support

  • AI-assisted autofill and AI summaries are available for Vendor Fulfilled Orders using this form element.

Needs Review (Buyer Side)

Once the Vendor submits the order:

  • Buyers can view all line items and the Vendor’s Recommendation to Fund values in read-only format.

  • Buyers cannot modify these recommendations but can:

    • Mark the order as Fulfilled, or

    • Select Request Revisions if adjustments are required.


Submit on Behalf of Vendor Orders (Buyer Fulfilled)

Buyers completing On Behalf orders can also fill out the Inspection Line Item element.

  • The same editable fields appear, allowing Buyers to enter Recommendation to Fund amounts directly.

  • Grouping, collapsing, and roll-up totals function identically to the Vendor workflow.

  • AI-assisted Order Fulfillment and AI Summaries are not supported in this workflow.

  • Buyers can mark the order as Fulfilled once data entry is complete.


Managing and Reviewing Orders with Inspection Line Item Data

  • Once submitted, Recommendation to Fund data appears alongside draw information in the Order Report tab.

  • Buyers can review item-level recommendations against the Draw’s Sources & Uses.

  • This data provides a clear comparison between requested and recommended funding, helping Buyers validate disbursement accuracy and prevent overfunding.

  • All data is automatically structured for auditability and reporting.
